KSeF login: Profil Zaufany or qualified signature
You log in to KSeF (Krajowy System e-Faktur, Poland's National e-Invoicing System) with Profil Zaufany or a qualified electronic signature: in the KSeF 2.0 Taxpayer Application, choose "Zaloguj przez login.gov.pl" (Log in via login.gov.pl), then Profil Zaufany, mObywatel, online banking or e-dowód. The second button, "Zaloguj certyfikatem" (Log in with a certificate), is for people and companies with a qualified signature or seal.
Profil Zaufany (Trusted Profile) is the free Polish government e-ID; mObywatel is the government mobile app and e-dowód is the Polish ID card with a chip. Legal status as of 7 October 2026.
KSeF 2.0 Taxpayer Application manual, ch. 4.1What the login looks like
The Taxpayer Application (Aplikacja Podatnika) runs at ap.ksef.mf.gov.pl. After you pick a login method, it asks on whose behalf you want to act. You choose the identifier type (NIP, internal identifier, or a composite identifier with an EU VAT number), enter it and click "Przejdź dalej" (Continue).
Ania is a freelance graphic designer running a JDG (jednoosobowa działalność gospodarcza, a Polish sole trader business). She logs in with Profil Zaufany, chooses NIP and enters her own NIP. If she also handled invoices for another company, she would enter that company's NIP at the same step. That requires permissions in the context of that company.
MF FAQ: KSeF 2.0 CIRFMF: authenticationSole traders: straight in, no ZAW-FA
If you run a sole trader business, KSeF assigns you owner permissions for your NIP automatically. They cover issuing invoices, access to invoices, granting permissions to others (for example, your accounting office), session history and viewing permissions. They cannot be revoked. You can log in straight away with Profil Zaufany or a qualified signature.
A sole trader does not file the ZAW-FA notification. ZAW-FA is the form a taxpayer files with the tax office to designate who may use KSeF. The only exception for a sole trader is registering your own qualified signature when it contains neither a NIP nor a PESEL (the Polish personal ID number); more on that below.
After logging in you will see invoices issued to your NIP. If one comes from a company you don't know, check how to spot a fake invoice in KSeF.
KSeF 2.0 Manual, Part I, p. 57Companies: qualified seal or the person named in ZAW-FA
Tomasz is the president of a limited liability company (spółka z o.o.). His Profil Zaufany alone will not open the company's invoices, because a company is not a natural person and gets no permissions automatically. He has two routes:
- The company's qualified seal. Log in with the "Zaloguj certyfikatem" button.
- A ZAW-FA notification. In it the company names exactly one natural person, who does not have to be listed in the KRS (National Court Register). That person gets, among other things, permission management, invoice issuing and access to invoices, and adds further people electronically.
You can file ZAW-FA(3) on paper, through e-Urząd Skarbowy (Dokumenty → Złóż dokument, i.e. Documents → Submit document) or through e-Doręczenia (the Polish e-delivery service). Filing through ePUAP has not been effective since 1 January 2026. Permissions start working once the tax office enters the data into the system, so don't leave it until the day you need to issue an invoice. Once they work, the person named in ZAW-FA logs in with their own method (via login.gov.pl or a qualified signature) and enters the company's NIP at the identifier step.
Dz.U. 2025 poz. 1815, § 5(1) KSeF 2.0 Manual, Part I, pp. 58-61Qualified signature without a NIP or PESEL
A qualified signature with a NIP or PESEL in the certificate works immediately. If the certificate has neither, KSeF can't tell whose signature it is, and you have to register its fingerprint (a SHA-256 hash, 64 hexadecimal characters). In the Taxpayer Application you use the "Pobierz odcisk palca" (Get fingerprint) function: sign a file with the certificate and choose "Przekaż plik" (Upload file).
Who registers the fingerprint depends on whose signature it is:
- Your own, and you run a sole trader business: you register it with a ZAW-FA notification (the exception from the sole trader section).
- Someone you are granting permissions to: you enter the fingerprint when granting permissions, with the identifier set to "Brak" (None), plus that person's date of birth and identity document.
After such a signature is renewed or replaced, the permissions have to be registered again. That isn't needed if the new certificate already contains a NIP or PESEL.
MF FAQ: most common questions, Q19Sole trader businesses run by Ukrainian citizens
Olena, a Ukrainian citizen, runs a JDG in Poland. The Taxpayer Application does not support login with eIDs from other EU countries. The manual does not list non-EU eIDs (such as Diia) among the login methods, and we found no separate MF guidance for Ukrainian citizens. Olena therefore has the same two routes as everyone else: login.gov.pl or a qualified signature. If her signature contains neither a NIP nor a PESEL, she registers the fingerprint with a ZAW-FA notification, like any sole trader. The KSeF documents do not settle whether a given person can set up Profil Zaufany or mObywatel.
KSeF 2.0 Taxpayer Application manual, pp. 13-17KSeF token and certificate: for software, not for you
You cannot log in to the Taxpayer Application with a KSeF token or a KSeF certificate. They are for invoicing software that connects to KSeF through the API. The software authenticates with a signed request (XAdES) or a KSeF token. A KSeF certificate is generated after authenticating via login.gov.pl or with a qualified signature or seal, and is valid for at most 2 years. A KSeF certificate cannot be generated after authenticating with a token.
KSeF 2.0 Manual, Part I, p. 42 CIRFMF: authenticationWhat happens to tokens after 31 December 2026
This isn't settled. The regulation allows tokens to be used until 31 December 2026 (§ 13(1)(1)). In its manual of 6 August 2026 the Ministry of Finance says tokens will stay "indefinitely" and the regulation "will be amended accordingly". As of 7 October 2026 the amendment has not been published. On 10 September 2026 the CIRF MF API team wrote on GitHub that tokens issued by 31 December 2026 will keep working, but no later than 30 November 2027. That is an announcement, not law.
KSeF 2.0 Manual, Part I, p. 26If your software connects to KSeF with a token, you don't need to do anything today. Ask your software vendor how they are preparing for the end of 2026.
Dz.U. 2025 poz. 1815, § 13 CIRFMF ksef-api, issue 834Does Profil Zaufany still work in KSeF?
Yes, via login.gov.pl. The amending regulation (Dz.U. 2026 poz. 169) changed two dates: the transitional legal basis for a standalone trusted signature (podpis zaufany) ended on 13 February 2026, and since 14 February 2026 there has been a permanent basis for logging in through the national node, i.e. login.gov.pl, where Profil Zaufany is one of the methods. The KSeF 2.0 FAQ still lists Profil Zaufany among the ways to log in to the Taxpayer Application.
It remains open whether KSeF still technically accepts a standalone trusted signature, for example to sign a file in an API integration. The MF technical documentation still lists it, and the Ministry has not settled the question.
Dz.U. 2026 poz. 169When Profil Zaufany doesn't work
The Ministry of Finance announces outages on its technical notices page. In 2026 these included Profil Zaufany outages on 5 and 11 May and disruptions to the Taxpayer Application on 25 September. Check there first to see whether the problem is on your side.
If only Profil Zaufany is unavailable, pick mObywatel, online banking or e-dowód on the same login.gov.pl screen. Login with a qualified signature or seal goes through the separate "Zaloguj certyfikatem" button. If the Taxpayer Application itself is down, switching login method won't help.
MF: technical noticesIf you run a sole trader business and are logging in for the first time, the rest of the minimum is in our KSeF guide for sole traders.

KSeF tokens after 2026: what we know
The KSeF regulation allows tokens only until 31 Dec 2026. MF and the API team say they will stay, but the rule is unchanged. What to do now.
Giving your accountant KSeF access: step by step
You grant access online in the KSeF Taxpayer Application: to the firm by NIP or to the accountant by name. ZAW-FA is needed only in narrow cases.
KSeF token or certificate: how to log in (2026)
Profil Zaufany is enough for manual login. Invoicing software connects to KSeF with a token or a KSeF certificate. What to pick in your situation.
