Receiving invoices in KSeF: nothing to accept
You receive invoices in KSeF (Krajowy System e-Faktur, Poland's National e-Invoicing System) automatically: if the seller put your NIP in the buyer's NIP field, the invoice is available on your side the moment KSeF assigns its number, and you have nothing to accept. You view and download it in the free KSeF Taxpayer Application (Aplikacja Podatnika KSeF), in software connected to KSeF, or through your accountant, and the invoice counts as received on the day its KSeF number was assigned.
Legal state as of 10 October 2026. The application and the official documents are in Polish, so Polish labels are given with a translation.
Invoices arrive on their own, with no acceptance
Since 1 February 2026, Art. 106na ust. 2 of the VAT Act, which required the buyer's consent, has been repealed. You also cannot refuse to receive invoices in KSeF. KSeF 2.0 Manual, part II, sections 5 and 6.1
One field decides whether the invoice reaches you: your NIP (Polish tax identification number) must be in the buyer's NIP field (Podmiot2). If the seller enters it as an EU VAT number or another identifier, the invoice will not reach you in KSeF. FA(3) brochure, §6.2 An invoice with a wrong NIP goes to the business that holds that NIP. KSeF 2.0 Manual, part II, section 1.6.4 So when a seller asks for your invoice details, give them your business NIP, not just the name and address.
If you appear on an invoice as a third party (Podmiot3, for example because you pay on someone's behalf or are an additional buyer), you see only the invoices that name you. KSeF 2.0 Manual, part II, section 5.2
Receiving starts 1 February 2026, even under the 10,000 PLN limit
Receiving invoices in KSeF has applied since 1 February 2026, even if you only have to issue invoices in KSeF from 1 April 2026 or from 1 January 2027. The deferral covers issuing only. You do not need software integrated with KSeF to receive. MF: below 10,000 PLN, Q4 What to do before the 10,000 PLN limit ends is covered in our post on the end of the limit.
The Ministry of Finance describes the obligation to receive in general terms, with no exception for VAT-exempt businesses. Buyer access depends on the NIP in the buyer field, so purchase invoices appear in KSeF for VAT-exempt businesses too. KSeF 2.0 Manual, part II, sections 5 and 6.1
Where to view and download a purchase invoice
There are three routes, and you can combine them.
Free Ministry tools. The Taxpayer Application (ap.ksef.mf.gov.pl) lets you issue and receive invoices and view and download UPO (the official receipt confirmation). You can also receive invoices in the KSeF mobile app and in e-mikrofirma in e-Urząd Skarbowy, the tax office's online portal. KSeF 2.0 Manual, part II, section 3.1 You log in to the Taxpayer Application through login.gov.pl (Profil Zaufany, mObywatel, online banking, e-Dowód) or with a qualified certificate, and choose your own NIP as the context. Taxpayer Application manual, ch. 4.1, pp. 13-15 As a sole trader (JDG, jednoosobowa działalność gospodarcza) you hold owner permissions from the start, including access to invoices. KSeF 2.0 Manual, part I, p. 57
In the invoice list you tick the ones you want, click "Pobierz" (Download) and choose a format. You can download 1 to 10 invoices at a time (several come as a ZIP file), and each file is named after its KSeF number. Taxpayer Application manual, pp. 116-117 You can download an invoice as many times as you like, and the seller does not know whether you have done so. KSeF 2.0 Manual, part II, section 6.5
Accounting or invoicing software. Software connected to KSeF through the API fetches purchase invoices for you. It authenticates with a signature, a token or a KSeF certificate; note that a token or KSeF certificate will not log you in to the Taxpayer Application. KSeF 2.0 Manual, part I, sections 2.4.8 and 2.5.1
Your accountant or accounting office. You grant the "przeglądanie faktur" (viewing invoices) permission, which the system itself calls "dostęp do faktur" (access to invoices). An office that only does your books does not need the permission to issue invoices. MF FAQ, Q17 We walk through it in the guide on giving your accountant KSeF access.
KSeF will not notify you of a new invoice
KSeF does not send notifications about new invoices. Software has to poll for new documents itself; notifications may be a feature of a particular program, not of the Ministry's system. KSeF 2.0 Manual, part II, section 6.4 If you use only the Taxpayer Application, check it yourself, for example once a week and before closing the month.
The receipt date is the day the KSeF number is assigned
An invoice from KSeF counts as received on the day KSeF assigned its number (Art. 106na ust. 3 of the VAT Act). When you open or download it does not matter. The seller sees the same date in the UPO. KSeF 2.0 Manual, part II, sections 4.2 and 5.1
If you are an active VAT payer, this date affects your input VAT deduction. The right to deduct arises in the period in which the tax obligation arises, but no earlier than the period in which you received the invoice (Art. 86 ust. 10b pkt 1). The Ministry mentions this in the manual for invoices issued outside KSeF and in offline24 mode. For an ordinary KSeF invoice it follows from combining that provision with Art. 106na ust. 3; that is our reading, but the Ministry has not stated it directly. KSeF 2.0 Manual, part II, sections 1.7-1.8 If you are VAT-exempt, you have no deduction and the date matters less to you.
Invoices that will not come through KSeF
Some invoices will still reach you by email or on paper. In that case the receipt date is the day you actually received the invoice. KSeF 2.0 Manual, part II, section 1.7
- Private purchases. When you buy as a private person, not for your business, the seller does not have to issue the invoice in KSeF (Art. 106ga ust. 2 pkt 4: the buyer is a natural person not running a business). If they issue it in KSeF anyway, they pass it to you in an agreed way, with a QR code. If they issue it outside KSeF, you get an ordinary paper or PDF invoice with no code. The rules do not clearly settle when a sole trader is buying privately and when for the business, or whether giving or not giving a NIP alone decides it.
- Sellers who may issue outside KSeF until 31 December 2026: under the 10,000 PLN limit (Art. 145m) or from a cash register (Art. 145n). Also foreign sellers with no registered office or fixed establishment in Poland (Art. 106ga ust. 2 pkt 1-2).
If a seller should have issued the invoice in KSeF and did not, you keep the right to deduct as long as you meet the conditions of Art. 86 and Art. 88 does not apply. You do not have to check whether the supplier was allowed to issue outside KSeF, but you are expected to exercise due diligence. The Ministry calls a missing KSeF invoice a "formal irregularity" (uchybienie formalne) and foresees no automatic consequences for the buyer. MF FAQ, Q1, Q2 and Q4
Offline24 mode. A seller may issue an invoice in offline24 mode without giving a reason (Art. 106nda ust. 1) and must send it to KSeF by the next working day at the latest. As a buyer with a Polish NIP you receive it only through KSeF, and the receipt date is the day the number is assigned (Art. 106nda ust. 2, 3 and 11). Before the invoice reaches KSeF, the seller may give you a "potwierdzenie transakcji" (transaction confirmation) with two QR codes. It is not a tax document. If the seller nonetheless hands you the invoice itself outside KSeF before sending it, you deduct VAT from the day you actually received it, although the Ministry considers this practice by the seller incorrect. KSeF 2.0 Manual, part II, sections 1.6.6 and 1.8
During a KSeF outage (emergency mode, Art. 106nf) the seller gives you the invoice outside KSeF with two QR codes and sends it to KSeF within 7 working days of the end of the outage. During a total outage (Art. 106ng) invoices are not sent to KSeF at all. The receipt date of such an invoice is the day you actually received it, or, if that is later than the KSeF number being assigned, the day the number is assigned (Art. 106nf ust. 10). For buyers under Art. 106gb ust. 4 (among others private and foreign buyers) who agreed another way of delivery, the day of actual receipt counts. Unavailability of KSeF (Art. 106nh) is different: Art. 106nh ust. 4 refers to Art. 106nda ust. 4-15, so the receipt date is the day the KSeF number is assigned (ust. 11).
Checking an invoice with a QR code on a PDF or printout
A KSeF invoice shown outside the system carries a QR code. An invoice issued online has one code, with the KSeF number below it. An offline invoice that does not yet have a number has two codes, labelled "OFFLINE" and "CERTYFIKAT" (certificate). KSeF 2.0 Manual, part II, section 5.4
Scanning the first code shows the basic data: KSeF number, seller's NIP, issue date, date the number was assigned, mode and a compliance note. If the invoice is not in KSeF, you see that instead. In a second step you enter the invoice number, the buyer's identifier and the total amount due, and then download the XML or PDF without logging in. After several wrong attempts, access is blocked for a while. The "CERTYFIKAT" code checks whether the issuer's certificate is active and whether the issuer holds the right permissions. KSeF 2.0 Manual, part II, sections 5.5-5.7
Without a QR code you can use anonymous access in the Taxpayer Application: enter the KSeF number, the invoice number, the buyer's NIP and name, and the total amount due. KSeF 2.0 Manual, part II, section 5.7
A PDF from the seller may carry a logo or be in another language, but it must not contradict the data in the XML file in KSeF. KSeF 2.0 Manual, part II, section 1.6.5
The KSeF number and bank transfers
The KSeF number has 35 characters and is not in the invoice XML file, because the system assigns it. The seller does not have to send it to you, since the invoice appears on your side automatically. KSeF 2.0 FAQ From 1 January 2027, an active VAT payer paying another active VAT payer by bank transfer for an e-invoice must put the KSeF number or a collective identifier in the transfer title (Art. 108g). MF: KSeF number and collective identifier Details are in our post on the KSeF number in bank transfers.
How long KSeF keeps invoices
KSeF stores invoices for 10 years from the end of the year in which they were issued. An invoice sent on 5 February 2026 stays in KSeF until 31 December 2036. During that time you do not have to store invoices yourself (Art. 112 and 112a do not apply) or deliver them to the tax office, because the tax administration has access to them. If your tax liability becomes time-barred later than that, download the invoices before the period ends and keep them outside KSeF. Invoices cannot be deleted from KSeF. MF FAQ, Q21 KSeF 2.0 Manual, part II, sections 7 and 1.6.3
A wrong or suspicious invoice
KSeF has no option to approve or reject invoices; disputes are settled outside the system. Only the seller can fix a wrong invoice, by issuing a corrective invoice. An invoice cannot be edited, cancelled or deleted, and correction notes no longer exist since 1 February 2026. If the seller invoiced the wrong buyer, they correct the invoice to zero and issue a new one. KSeF 2.0 Manual, part II, sections 1.6.2-1.6.4 and 6.3 How a correction works is explained in our post on corrective invoices in KSeF.
If an invoice turns up in KSeF from a company you do not work with, first contact the seller: it may be a simple NIP mistake, which the seller fixes with a correction to zero. If you suspect a fake, report it in the Taxpayer Application with the "Zgłoszenie nadużycia" (report abuse) button; reports go to the tax administration (KAS). An invoice issued by mistake is not reported as fake. KSeF 2.0 Manual, part III, section 7
The Ministry has also announced hiding invoices, but this function is not available yet. A hidden invoice is not deleted from KSeF, and the seller is not notified. The Ministry does not describe the tax consequences of reporting or hiding an invoice. KSeF 2.0 Manual, part II, section 6.3 KSeF 2.0 Manual, part III, section 8
What to do now
Log in to the Taxpayer Application with your NIP and check whether invoices from your regular suppliers are there. If one is missing, ask the seller to check that your NIP is in the buyer's NIP field.
